Ongoing costs after the hire platform is live.

The €18,000 build covers the software, and hosting until go-live. From go-live you pay two monthly amounts: to run the platform (infrastructure) and to look after it (support). Xero stays your subscription.

01 · How the money splits

Two bills after go-live: run it, and look after it.

Run the platform
€350 / month

Hosting, database, backups, security. In advance, ex-VAT.

Look after it
€225 or €300

Basic €225. Enhanced €300. In advance, ex-VAT.

Recommended monthly
€650

ex-VAT. Infra €350 + Enhanced €300. €799.50 inc. VAT.

02 · Infrastructure

What it costs to keep the platform on, every month.

Ireland / EU (or UK under GDPR where we disclose that). Invoiced monthly in advance from go-live. This sits in the €300 to €700 band in the original proposal. €350 is the figure for this size of system (about 5 to 25 users, one Irish entity, PostgreSQL, hire invoices posting to Xero).

ItemWhat you getMonthly ex-VAT
Hosting Application in Ireland / EU (or disclosed UK). TLS. Named-user access. No server in Clondalkin. €160
Database Managed PostgreSQL for customers, EXT serials, contracts and invoices. €70
Backups Daily backups, 30-day retain, point-in-time restore. Restore tested, not only stored. €45
Security TLS, MFA on the platform, patching, uptime monitoring, access logs, firewall in front of the app. €75
Domain / DNS hire.extraspace.ie (or similar) on the extraspace.ie domain you already hold. No new domain to buy. €0
Infrastructure total €350 / month

€350 × 12 = €4,200 / year ex-VAT (€5,166 inc. VAT). Separate domain instead of extraspace.ie: about €30 / year. Pass-through cost, reviewed at the anniversary if usage grows.

03 · Support

Keep it running, or keep it moving.

15% or 20% of the €18,000 build, shown monthly and invoiced monthly in advance from go-live. Choose one.

Basic

€225 / month ex-VAT

Support what we have built. €2,700 / year.

  • Defects and incidents in hire, billing, Xero and utilisation
  • Named-user questions: month-end, Xero queue, remaining-term invoices
  • Liaison for hosting, backups and security patches
  • No new features. No workflow changes.

€276.75 inc. VAT per month.

Enhanced Recommended

€300 / month ex-VAT

Support plus one contained enhancement per month. €3,600 / year.

  • Everything in Basic
  • One agreed change a month: filter, column, export, label, small report on data already in the system
  • Unused months do not bank

€369 inc. VAT per month. Not for new modules, remaining-term rule changes, crane-truck, servicing or a portal. Those are quoted separately.

The first four weeks after go-live still include defect-fix in the €18,000 build. Support sits on top of that from go-live, so the live system is never uncovered.

04 · Year 1 at a glance

What you would budget from go-live, each month.

If you chooseInfrastructureSupportMonthly ex-VATYear 1 ex-VAT
Basic: platform running, defects and help desk. No new features. €350 €225 €575 €6,900
Enhanced: platform running, plus one small change a month. Recommended. €350 €300 €650 €7,800

Not in these figures

  • Xero (Ireland) subscription. Yours.
  • The €18,000 build (hosting included until go-live)
  • Crane-truck, servicing, portal, or any new module
  • A second legal entity or a second ledger

How it is billed

  • Infrastructure: €350 / month, in advance, 30 Days EOM
  • Support: €225 or €300 / month, in advance, 30 Days EOM
  • Irish VAT at 23% on each invoice
  • Either support option can switch at the anniversary

Infrastructure will move if the fleet, user count or invoice volume grows well beyond this build. We would flag that before the anniversary rather than surprise a month-end.
